For the purposes of this Privacy Policy “You”, “Your” and “Client” can represent either a client/service user or a client’s guardian (E.g: a parent of a child using our services).

Personal information: In order to provide the best quality of service, we do require personal and sensitive data to be collected, stored and processed about our clients. This includes information given by a client when completing contact forms, accessing our services, emailing, or speaking to one of our staff. It may also include information collected about other professionals, suppliers or service contractors. All data will be stored, retained and processed (in line with GDPR guidelines) on one or more of the following grounds: with a client or guardian’s specific consent; where data retention is necessitated by a contractual relationship; or on the grounds of being a legitimate business interest. Information may also be obtained regarding Next of Kin/Guardians/Family members pertaining to the Client on the basis of it being a vital interest. If appropriate, they should be made aware of this Privacy Policy.

Personal and sensitive data may be used to:

• Assess, manage and record physiotherapy diagnosis and treatment.

• Record attendance at a workshop or childrens' group session.

• Communicate information regarding physiotherapy services and costs.

• Arrange, rearrange or remind you about appointments.

• Discuss with you regarding future appointments and/or physiotherapy management.

• Discuss any changes to you or your child’s medical wellbeing or management.

• Communicate with other professionals (including GPs, Case managers, Healthcare providers, insurance companies) only when necessary and with your consent (or in child's best interests if required).

• Liaise with you regarding services, contracts, payments and/or invoicing.

• Communicate changes to our business practices or the services we offer via regular emails and/or Newsletters.

• Internal training and audit purposes (information would be kept anonymous).

Wix: We do use Wix to collect information about our new clients. This is when you book a class via our booking form or you complete our contact us form. When submitted the responses are only seen by our staff and kept confidential but may also be stored and processed by Wix. Website Cookies: Our website uses cookies to collect information. When someone visits our website, we may use a third-party service such as Google Analytics and/or Facebook Pixels to collect standard internet log information and details of visitor behaviour patterns. Contact Forms: As part of the “Contact Us” form, we collect personal information. We use that information for a couple of reasons: to tell you about services that we may be able to offer or to contact you if we need to obtain or provide additional information. We do not rent or trade email lists with other organisations and businesses. This may also be the case if you contact us through a third-party clinic search.

Recruitment: We may be contacted or sent personal information during a recruitment process. This information would only be used for the purposes of communicating with that individual regarding job vacancies and working for Ribble Valley Children's Physiotherapy. If the recruitment process does not result in a job with Ribble Valley Children's Physiotherapy, this personal information would be disposed of after a 6-month period. If it resulted in employment, you would then be referred on to our Staff Privacy Policy.

Social Media: We publish information about our services on social media channels such as Facebook and Instagram. We will not publish any personal/sensitive information about you on social media without your consent. How the information is kept safe?

The security of your Personal Information is important to us, but remember that no method of storage, transmission over the Internet, or method of electronic storage, is 100% secure. While we strive to use commercially acceptable means to protect your Personal Information, we cannot guarantee its absolute security.

As a healthcare provider, we have a legal obligation to retain client notes for a period of time prior to secure disposal. For all clients who are no longer seen by Ribble Valley Children's Physiotherapy, information is retained until 8 years after the last contact date. For all clients under 18 years old and no longer being seen by Ribble Valley Children's Physiotherapy , information will be kept until they are 25 years old. Sometimes this information may be kept longer as a legitimate interest in cases of any medical investigation.

We do use an online cloud-based encrypted software service to store and record most of the information that we receive regarding our clients. This allows us to keep our information all in one secure location and minimises the risk of any data breaches. How can you access and update your personal information?

You have the right to access the information that we hold relating to you and can request this in writing via the email address provided. You also have the right to ask to amend any inaccurate information that we may hold and for us to correct this in a timely manner.

You can request that we no longer use your personal information for some aspects of our service and that this information is erased from our records. Please note that your right to request this cannot override the legal requirements to keep medical notes for the mandatory periods.
